Cosplay Fashion Show 2013

Rules


Signup:
  • You have to sign up for the cosplay fashion show using the application template. Check the FAQ in the next post on how to sign-up.
  • You can sign up until the 13th of July 2013.
  • All required audio-visual material has to be send to us before the 3rd of August 2013.
  • Costumes must relate to games, animation, manga, comics or Japanese culture. Yes, costumes related to western styles are allowed.
  • Each 'act' may consist out of a maximum of five (5) people. There is 1 prize. Groups have to share the prize if they win.
  • Each 'act' needs to supply their own music (no music means we pick something).
  • Each 'act' needs to supply reference material of their costume in the form of images (you don't want us to pick images for you. Seriously!).
  • All cosplays have to be self made. This may be by yourself, or someone you personally know. If not by yourself, the person who made the costume (the designer) has to be referenced and also has to attend this convention. The designer should be present at the competition. If that is not possible, we need to know this at least a week in advance. The costume may not have been bought in its entirety but attributes like shoes, wigs and props are allowed. Attributes not self made must be referenced as such at sign-up.
  • There is a limited amount of places available. this is on a first-come-first-serve basis. There will be a waiting list for anyone signing up in excess to the available spots. If an 'act' drops out of the competition more than a week in advance, we'll notify 'acts' on the waiting list. 'Acts' on the waiting list do have to comply with all rules and deadlines. Yes, that means, even when you're on the waiting list, if you want a chance at competing, you have to hand in your audio-visual material on time and do all the other stuff, as if you were competing. You'll know at least that week in advance if you will be competing or not.
  • The exact number of possible participants is yet to be determined.

Audio-visual material:
-Images (reference material)
  • Reference images are original artwork pictures showing the costume you based your cosplay on. This can be a screenshot from an Anime episode, Game or Fanart image.
  • You have to supply a minimum of 1 (one) image, but more is better. If you supply us with multiple images, the images will be formed into a collage.
  • The following file types are accepted: PNG, JPG and GIF.
  • We don’t accept other file types like BMP, TIFF, PSD, TGA and other exotic formats.
  • The resolution of the image(s) should fit the minimum of 640x480. This means, both the width and height must be at minimum, 640 and 480 pixels respectively. Padded images (with 'bars' to extend the size) or obviously upscaled images won't be accepted.
  • We can alter images however we see fit. With multiple images, the images will be reworked to be shown on screen during the competition. This collage of images will be made by the team organizing this competition. Do not rework your images into a collage of your own. You can supply us with pointers if you want to have certain parts of the images overlap. However, we will decide if what you want is wat actually happens.

-Audio
  • For audio you can use one of the following formats: MP3 or AAC. Audio files should be of good quality! What might sound reasonable on your IPod, might be insufficient when amplified and blasted out of the speakers at main stage.
  • Check the FAQ for any technical details about audio files.
  • The audio files that are supplied need to have been pre-cut at the start. this means: no 'start file at time index X'. If you want to be sure everything will work, and have multiple audio files, pre-mix these yourself (or let someone do it for you) into one single file. The audio file will be played from the beginning of the file, to the end. Don't make your audio file too long, or we have to cut it short (unless you don't mind of course). Don't make it too short either, or you'll be on stage without sound, half way.
  • If you need help on the above points, notify us in time! Two weeks before the convention is already far too late! There is very little we can do after the audio-visual material deadline has passed because we will be very busy with more than only this competition.
  • Youtube does not provide high enough quality material so is not allowed as a source. Also be careful with recordings from downloaded anime sources (crunchyroll, fansubs). They can differ tremendously in quality.

The performance:
  • The safety of the audience, staff, and other participants must not be compromised. To this end, pyrotechnics and fireworks or any other methods of creating or causing a naked flame or explosion are not permitted. Nor anything that may make the stage slippery or sticky that cannot be quickly removed after your 'act' has finished. We need to know in advance (the moment you sign up) if this is likely to happen. Also cases of (excessive) use of paper tape and the like; notify us at sign up.
  • Energetic performances involving e.g. running or martial arts displays will require further assurance regarding the skills of the performers, and we reserve the right to interrupt performances for safety reasons. Of course there will be rehersals. Don't do anything stupid, like not show things at the rehersals in fear of it being rejected, and try to do them on stage at the actual competition anyway.

The rehearsal:
  • It is mandatory to be present at the rehearsal, you will be disqualified if you aren’t there or late. The rehearsal times will be made know to the selected groups. If you know up front you are unable to attend or will be late, please send us an e-mail with the reason. If the reason is deemed valid enough you may be exempt from this rule. You will have to notify us of this within two days after receiving the exact rehersal times.
  • The rehearsal is not for you to practice your act, rather for you to get used to the stage, and also for the staff to make sure the sounds and lights are working correctly during the competition and practice the technical cues.
  • We will not accept new audio-visual materials or requests during the rehearsals!
  • Acts with inappropriate language, nudity or intensive violence will be rejected without question.

The competition:
  • By participating in this competition you give us the right to record your act, which will be put online on our website and used for promotional purposes, all rights reserved to us.
  • If you want your act to be filmed by anyone else besides our camera crew, you can request this through e-mail minimally a week before the convention.
  • There will be a short break (approximately 60 minutes, for lunch and just spare time) between the rehearsal and the actual competition. All group members must be present (backstage) 10 minutes before the show is scheduled to start. If there are delays, you have to be present anyway!
  • For problems or questions during the rehearsal or show go to either Jiri/Arjan (tech) or Nick (stage) before the show (during rehearsal and the break), or the Super Gopher backstage during the competition.
  • The order in which acts are set will be decided by the staff and is not open for discussion.
  • Judging results are final and are not open for discussion.

FAQ

Q: On what day will the Cosplay Fashion Show be?
A: Currently we are still planning the day and time of each competition. By the end of this month (april) we will announce the day on which each competition will be held.

Q: I have an OC (Original Character), can I still join the CFS?
A: Yes, of course. Please do note that all of the rules apply, including those of reference images! This will make

participating as an OC harder compared to a regular character!

In the sign-up template, enter the fact that it's an OC at the "Source" question, and add the story/information of the

character under "Additional Information".

Q: We want to do the catwalk run as a group, how do we sign-up?
A: You have to sign-up by filling in a separate template for each person in the group. In the template you can write down

you are going to run down the catwalk as a group. It is fine to supply us with the audio-visual material in a single

archive for the entire group.

Q:  How do I sign-up?
A: You have to use the following templates:
Send an email using the email form on the website. The body

(message) of the email will have to contain:
  • Subject: [CFS] (nick)name - character name, e.g.: [CFS] jiriw - staff member
  • Your Name
  • Your Email address
  • Your visitor number (or payment code if no visitor number has been received yet)
  • A download link to the Sign-up template
If any of the information required is missing, the sign-up will be rejected. We will notify you if your sign-up has been

received.


Q: How do I supply you with my music and reference image(s)?
A:  Send an email using the email form on the website. The body

(message) of the email will have to contain:

  • Your Name
  • Your Email address
  • Your visitor number (or payment code if no visitor number has been received yet)
  • A download link to all the material (sign-up template, audio and reference images) you have to provide.

    Please package all files together in an archive (ZIP/RAR/7z/GZIP) if in any way possible.
If any of the information required is missing, the sign-up will be rejected. We will notify you if your sign-up has been

received.


Q: What is an "Archive" and how do I use it?
A: If you have trouble creating an archive, check out this tutorial. We

accept the types of Compressed Folder (Windows Native)/ZIP/RAR/7z/GZIP. We highly recommend using this since it saves us a

lot of trouble.


Q: I have no hosting of my own, how do I upload the files to you?
A:  There are a whole lot of file hosting services out there you might use, if you don't already use one. These are a few

examples:

Q: What are the technical requirements for audio files?
A: 
  • The files have to be in MP3 or AAC format
  • Compressed bit rate for MP3 should be at least 128 kbit/s, fixed, or 192 kbit/s VBR. Compressed bit rate for AAC should

    be at least 96 kbit/s.
  • Audio frequency and channels for both formats should be at least 22050 Hz/channel, 2 channel (stereo).
  • We donít accept other file types like FLAC and other exotic formats. Hint: In case of a 'lossless' format, like FLAC or

    classic WAV, recode your audio files yourself to MP3 320kbit fixed bit rate. That will surely work.
  • Try to prevent the 'analog loop' (recording audio from an analog audio-out source, from, for example, TV) unless you

    really, really know what you're doing. If you know how to prevent noise, hum and clipping, give it a try.

I was waiting for this.
I want to sign up for the ECC as soon as possible but, I don't have my audio ready yet.

Is it okay to sign up right now / tomorrow and send you the audio later?

Hi there! I also have a question! I want to sign up asap, but I'm still doubting between two characters to enter with! Since you can send in audio/visual later, can you also still change the character you're entering with? (and is that also possible if I decide to enter the ECC..?)

I signed up last week for the ECC, but haven't heard anything yet.
I know you're really busy and all, but since last year my sign up was also not going as smooth as it should I was wondering if you got my email.

As long as you do this before the given deadline it shouldn't be a problem. About the ECC I cant say since that depends if there is a spot free.

As I will be judging this year again I asked the organisation about this rule and have been told the rule for this would be changed.
However, I see it is still unchanged so I would like to ask some clarification here about it.

Western style animation, this was going to include everything Western, not just animation. I am refering to movies, comics etc etc. What is the rule about this now?
