These are the rules, signups ARE FULL!

Cosplay Fashion Show 2014

Rules


Signup:
  • You have to sign up for the cosplay fashion show using the application template. Check the FAQ in the next post on how to sign-up.
  • You can sign up until the 8th of August 2014.
  • All required audio-visual material has to be send to us before the 15th of August 2014.
  • Costumes be related to Japanese or Western Popular culture, e.g.: Anime/Animation, Manga, Games, Comics, Movies, etc.
  • Each 'act' may consist out of a maximum of five (5) people. There is 1 prize. Groups have to share the prize if they win.
  • Each 'act' needs to supply their own music.
  • Each 'act' needs to supply reference material of their costume in the form of images.
  • If possible, each participant should supply us with documentation of their creation process (Work In Progress) of the cosplay. This is not mandatory however, but might become manditory in a future edition of Abunai!.
  • All cosplays have to be self made. This may be by yourself, or someone you personally know. If not by yourself, the person who made the costume (the designer) has to be referenced and also has to attend this convention and be present alongside you at the competition. The costume may not have been bought in its entirety but attributes like shoes, wigs and (small) props are allowed. Attributes not self made must be referenced as such at sign-up.
  • We expect you to make your own props for your cosplay, but everyday items that are small props are allowed to be store-bought. With bigger props and character-specific props it is not allowed to buy or comission these elsewhere. If you doubt about the category for your prop, please send an e-mail using the contact form on our website.
  • There is a limited amount of places available. this is on a first-come-first-serve basis. There will be a waiting list for anyone signing up in excess to the available spots. If an 'act' drops out of the competition more than a week in advance, we'll notify 'acts' on the waiting list. 'Acts' on the waiting list do have to comply with all rules and deadlines. That means, even when you're on the waiting list, if you want a chance at competing, you have to hand in your audio-visual material on time, as if you were competing. You will be notified when you are eligible to participate in the week before Abunai!.
  • People on the waiting list may be present during the rehearsals. If a chosen participant does not show up (on time) or is otherwise indisposed, people from the waiting list (in order) are able to participate to fill the spots.
  • The exact number of possible participants is yet to be determined.

Ineligibility of sign-ups
You are ineligible to participate in the Cosplay Fashion Show if:
  • You have placed 1st in a national selection competition for any international cosplay competition (EuroCos, CICAF, WCS, ECG, Yamato Cup, etc) with the cosplay you intend to sign up with. You are allowed to participate using a different cosplay.

Audio-visual material:
-Images (reference material)
  • Reference images are original artwork pictures showing the costume you based your cosplay on. This can be a screenshot from an Anime episode, Game or Fanart image.
  • You have to supply a minimum of 1 (one) image, but more is better. If you supply us with multiple images, the images will be formed into a collage.
  • The following file types are accepted: PNG, JPG.
  • We don’t accept other file types like BMP, TIFF, PSD, TGA and other exotic formats.
  • The resolution of the image(s) should fit the minimum of 640x480. This means, both the width and height must be at minimum, 640 and 480 pixels respectively. Padded images (with 'bars' to extend the size) or obviously upscaled images won't be accepted.
  • The provided reference images will be used on screen at the competition and used by the judges as reference for likeness.
  • We can alter images however we see fit. With multiple images, the images will be reworked to be shown on screen during the competition. This collage of images will be made by the team organizing this competition. Do not rework your images into a collage of your own. You can supply us with pointers if you want to have certain parts of the images overlap.

-Audio
  • For audio you can use one of the following formats: MP3, AAC or FLAC. Audio files should be of good quality! What might sound reasonable on your IPod, might be insufficient when played through a high quality sound system at the main stage.
  • Check the FAQ for any technical details about audio files.
  • The audio files that are supplied need to have been pre-cut at the start. this means: no 'start file at time index X'. If you want to be sure everything will work, and have multiple audio files, pre-mix these yourself (or let someone do it for you) into one single file. The audio file will be played from the beginning of the file, to the end. Make sure the audio track is long enough for your stage performance. Unless specified otherwise the audio will be faded out when you leave the stage if it runs longer.
  • If you need help on the above points, notify us in time! We can give limited support or guidance on any problems you might face.
  • Youtube does not provide high enough quality material so is not allowed as a source. Also be careful with recordings from downloaded anime sources (crunchyroll, fansubs). They can differ tremendously in quality.

The performance:
  • The safety of the audience, staff, and other participants must not be compromised. To this end pyrotechnics, fireworks, smoke or any other methods of creating or causing a naked flame or explosion are not permitted. Nor anything that may make the stage slippery or sticky that cannot be quickly removed after your 'act' has finished. We need to know in advance (the moment you sign up) if this is likely to happen. Also cases of (excessive) use of paper tape and the like; notify us at sign up.
  • Energetic performances involving e.g. running or martial arts displays will require further assurance regarding the skills of the performers, and we reserve the right to interrupt performances for safety reasons. Of course there will be rehearsals. Don't do anything stupid, like not show things at the rehearsals in fear of it being rejected, and try to do them on stage at the actual competition anyway.

The rehearsal:
  • It is mandatory to be present at the rehearsal, you will be disqualified if you aren't there or late. The rehearsal times will be made know to the participants. If you know up front you are unable to attend or will be late, please send us an e-mail with the reason. If the reason is deemed valid enough you may be exempt from this rule. You will have to notify us of this within two days after receiving the exact rehearsal times.
  • The rehearsal is for you to get used to the stage, and also for the staff to make sure the sounds and lights are working correctly during the competition and practice the technical cues. Make sure to practice your 'act' well because the rehearsals will not be able to provide much time for this.
  • We will not accept new audio-visual materials or requests during the rehearsals!
  • Acts with inappropriate language, nudity or intensive violence will be rejected without question.

The competition:
  • By participating in this competition you give us the right to record your act, which may be put on-line on our website or an on-line video service and used for promotional purposes, all rights reserved to us.
  • If you want your act to be filmed by anyone else besides our camera crew, you can request this through e-mail minimally a week before the convention.
  • There will be a short break (approximately 60 minutes, for lunch and just spare time) between the rehearsal and the actual competition. All group members must be present (backstage) 10 minutes before the show is scheduled to start. If there are delays, you have to be present anyway!
  • For problems or questions during the rehearsal or show go to a Staff member, or the Super Gopher at the Main stage.
  • The order in which acts are set will be decided by the Staff and is not open for discussion.
  • Judging results are final and are not open for discussion.

FAQ

Q: On what day will the Cosplay Fashion Show be?
A: The fashion show will be held on Friday evening. An exact time will be announced later.

Q: When I arrive at the convention, do I need to wait in line? What if I will miss the rehearsals because of any queue that might be present?
A: Participants in the Cosplay Fashion Show will be able to skip the check-in line and move to the front of the line. This applies to only the participant and a maximum of one (1) helper. Please present yourself to one of the Stewards at the door and they will direct you further. The same applies to any line at the hotel registration desk.

Q: I have an OC (Original Character), can I still join the CFS?
A: No, due to the low number of sign-ups of this type, and a high number of 'regular' sign-ups we have decided to no longer allow OC cosplays to participate in the competition.

Q: We want to do the catwalk run as a group, how do we sign-up?
A: You have to sign-up by filling in a separate template for each person in the group. In the template you can write down you are going to run down the catwalk as a group. It is fine to supply us with the audio-visual material in a single archive for the entire group.

Q:  How do I sign-up?
A: You have to use the following templates:
Send an email using the email form on the website. The body (message) of the email will have to contain:
  • Subject: [CFS] (nick)name - character name, e.g.: [CFS] MyName - MyCharacter
  • Your Name
  • Your Email address
  • Your Mobile phone number
  • Your visitor number (or payment code if no visitor number has been received yet)
  • A download link to the Sign-up template
If any of the information required is missing, the sign-up will be rejected. You then still have time before the deadline to provide us with the missing information and complete your sign up. We will notify you when sign-up has been received.


Q: How do I supply you with my music and reference image(s)?
A:  Send an email using the email form on the website. The body (message) of the email will have to contain:
  • Subject: [CFS] (nick)name - character name, e.g.: [CFS] MyName - MyCharacter
  • Your Name
  • Your Email address
  • Your Mobile phone number
  • Your visitor number (or payment code if no visitor number has been received yet)
  • A download link to all the material (sign-up template, audio and reference images) you have to provide. Please package all files together in an archive (ZIP/RAR/7z/GZIP) if in any way possible.
If any of the information required is missing, the sign-up will be rejected. You then still have time before the deadline to provide us with the missing information and complete your sign up. We will notify you when sign-up has been received.


Q: What is an "Archive" and how do I use it?
A: If you have trouble creating an archive, check out this tutorial. We accept the types of Compressed Folder (Windows Native)/ZIP/RAR/7z/GZIP. We highly recommend using this since it saves us a lot of trouble.


Q: I have no hosting of my own, how do I upload the files to you?
A:  There are a whole lot of file hosting services out there you might use, if you don't already use one. These are a few examples:

  • 4shared.com


Q: What are the technical requirements for audio files?
A: 
  • The files have to be in MP3, AAC, OGG or FLAC format
  • Compressed bit rate for MP3 should be at least 128 kbit/s, fixed, or 192 kbit/s VBR. Compressed bit rate for AAC should be at least 96 kbit/s.
  • Audio frequency and channels for both formats should be at least 22050 Hz/channel, 2 channel (stereo).
  • We don’t accept other file types like WAV and other exotic formats. Hint: In case of a 'lossless' format, like classic WAV, recode your audio files yourself to MP3 320kbit fixed bit rate. That will surely work.
  • Try to prevent the 'analog loop' (recording audio from an analog audio-out source, from, for example, TV) unless you really, really know what you're doing. If you know how to prevent noise, hum and clipping, give it a try.
